Retention System
Customer Review Automation
Reviews are an operational output, not a marketing campaign. When the request is triggered by a real completion event and the response is owned by someone, volume and quality both improve without anyone chasing.
Capture loop
Ask at the right moment, route the answer
The two paths matter equally: a public review from a satisfied customer, and a private channel that lets you fix a problem before it becomes a permanent rating.
Firearm retail has a timing problem most industries do not. A customer who orders online waits through sourcing, shipping and a dealer visit before they own anything. Requesting a review at the point of payment asks them to rate a process they are still in the middle of.
Anchoring the request to transfer completion, class attendance or order pickup solves that, and it usually produces both more reviews and better ones.
Completion event
Transfer done, class attended, order received
Timed request
Sent when the customer actually has the product
Public review
Routed to the platform that matters locally
Private feedback
Service recovery before it becomes public
Response & routing
Replies owned, themes fed back to operations
Scope
What review automation includes
Request, route, respond and feed back — the whole loop, not just the ask.
Completion triggers
Transfer done, order picked up, class attended, range visit finished.
Per-category timing
Different delays for accessories, firearms and training.
Channel choice
Email or SMS based on consent and what the customer responds to.
Platform routing
Requests pointed at the platforms that matter for your market.
Private feedback path
A place for problems to land before they become public.
Issue suppression
No review request while a support ticket is open.
Response workflow
Assigned owner, expected turnaround and tone guidance.
Theme reporting
Recurring complaints summarized for operations, not just marketing.
Volume tracking
Requests, responses and rating trend reviewed monthly.
Method
How we implement review automation
- 01
Trigger selection
The completion events that genuinely indicate a finished experience.
- 02
Timing model
Delay tuned per category so the customer has actually used the product.
- 03
Routing design
Public review request and private feedback path, both handled.
- 04
Response workflow
Ownership, tone and turnaround defined for replies.
- 05
Suppression
Customers with an open issue excluded until it is resolved.
- 06
Operational feedback
Recurring themes reported back to the people who can fix them.
This is the operational counterpart to reputation growth in the Growth System: strategy and visibility there, trigger and workflow here. It runs on automation and shares the window with post-purchase marketing.
Experience
What we watch in review programs
Request-to-review rate
Low conversion usually means bad timing rather than an unwilling customer.
Response coverage
Unanswered reviews signal an unattended business to everyone reading them.
Theme recurrence
The same complaint three times is an operations task, not a reply task.
Platform policies
Requests designed to respect each platform's own rules on solicitation.

Klaviyo was implemented as the retention layer — purchase-based segmentation, transfer follow-up and post-purchase flows — so repeat business runs on owned data rather than paid reach.

Common questions
- When should a review request be sent?
- After the customer actually has the product or has completed the service — for a firearm order that means after the transfer, not after the payment. Requesting too early produces reviews about waiting.
- Can review requests be automated?
- Yes, and they should be, because manual requesting is inconsistent. What must stay human is the response to reviews and the handling of the problems they surface.
- How is this different from reputation growth?
- Review automation is the operational layer: the trigger, the timing, the routing and the response workflow. Broader reputation strategy — where you compete, which platforms matter, how reviews feed local visibility — is part of the Growth System.
